Backup of your data was always very important, but these days, with so many threats and organizations relying on their data for most of everything, it has become very crucial, and backup of your Microsoft 365 accounts is no different.
So should you backup your Microsoft 365 accounts? Yes, but should you use Microsoft standard backup? Or select a third-party backup tool to backup all your Microsoft 365 accounts?
Microsoft has the option to backup its data but it’s limited and lacks advanced options. Microsoft protects your Microsoft/Office365 against external threats, as I wrote in my previous article, but when it is regarding backup, it is not so good because of the lack of options and limitations.
We have another post in the Vembu blog explaining, “Why Backup Microsoft 365 data” is crucial to backup your Microsoft 365 data.
Six good reasons are mentioned regarding why you need, and should, back up your Microsoft 365 data.
- Accidental Deletion
- Internal Security Threats
- External Security Threats
- Legal and Compliance Requirements
- Retention Policy Gaps and Confusion
- Managing Hybrid Email Deployments and Migrations
This is when organizations need to select a third-party backup tool for their Microsoft 365 accounts. A backup tool that provides more robust backups, with the possibility to backup their Cloud SaaS data to on-premise backup repositories or to different locations and also to multi-cloud storage objects, like ‘BDRSuite for Microsoft 365’.
Organizations have more control over their data using a third-party tool and can restore individual objects or complete folders. They can even use file versioning.
And using the Microsoft backup option, some of the options are not available that we can find in a third-party backup tool, like BDRSuite for Microsoft 365.
Restrictions that you have when using Microsoft backups:
- You can’t backup your data to your on-premises backup repositories
- Objects(files, emails, etc.) stay in the recovering items only for 14 days(default)
- The maximum time you can recover an object is 30 days(you need to change the default option)
- OneDrive and SharePoint can only be restored by yourself within 93 days
- Microsoft backup RTO is very high. One backup each 12h
- You can’t use file versioning. You can restore the last version of a file, object, or a Sharepoint DWG file, that Microsoft 365 backup and SharePoint
- No point in time recovery and has significant Retention Policy Gaps
- Permanent data deletions are irreversible
As Microsoft Terms of Use informs in section Section 6.b:
“We strive to keep the Services up and running; however, all online services suffer occasional disruptions and outages, and Microsoft is not liable for any disruption or loss you may suffer as a result. In the event of an outage, you may not be able to retrieve Your Content or Data that you’ve stored. We recommend
that you regularly backup Your Content and Data that you store on the Services or store using Third-Party Apps and Services.”
As an example of the Microsoft Responsibility model, we can see next that the responsibility is shared between Microsoft and the Customer.
Meaning, that Microsoft is only responsible for the infrastructure and temporarily can save you data, but customers should regularly run backups on their data
Microsoft 365 is not responsible for your data protection; they are only responsible for the availability of the service. Microsoft has tools and options to keep your data safe, but it is up to the customer to configure them correctly.
This is where BDRSuite for Microsoft 365 tool enters, and organizations do their backups relying on a third-party backup tool like BDRSuite.
