In this blog, we will discuss the different ways of sharing an Office 365 document with your colleagues to work together through real-time editing.
Sharing your Office 365 document
After creating the document, you can share it with selected users or with a team of users. In the initial stages, you may work with a couple of users who are ready to make the document from the blank stage. Later you may require to add additional users to form a team and share the document with the team. So in the initial stages, you may share a document through email and through a link. Later you share the document with Microsoft Team.
Sharing a document through Email
You can either choose files from OneDrive or you can choose files directly from the Application (Word, Excel, or Powerpoint) for sharing through email.
- Select the file and click on the “More options” button (three-dot line). When you mouse over the file, you can easily find the three-dot line
- Choose the option – ‘Share’, and click on Email
- On clicking Email, you will be asked to add a user or group. You can add the individual user’s email address or can add a group’s email address
- Then, you can set Edit or View-only permission. You can also add a message and click send
Share Document through a link
Usually, when you share a document through email, you may attach the document. But Office 365 has a new feature, where you can share the link of the document to a user or group by copying the link without attaching the file.
- Select the file you want to share
- Choose Share -> Copy link option
- Click the “Copy” button which creates an “HTTPS” link to share the file. You can use that link to share the file with the users/groups you want to share while sending the Invite email
- You can also configure additional settings like the link expiration date and Password to open the link to the document. Click “Apply” to make the changes
- Also, you can block download, if the “Allow editing” option is not enabled. So, users with a view-only option cannot download the file
Sharing a Document to Microsoft Teams
You can share your document with Microsoft Teams. Files can either be created directly in the Teams file area or uploaded from your computer. Uploading files to a Teams site is very easy, just drag and drop the files from your computer into the Teams area or click the upload button.
- Select the file you want to share and choose the Share -> Teams option
- On clicking “Teams” you will be asked to Type the User or Group or Team channel to share the file. Choose the Team channel and click Share to complete the sharing process
